Job Description The Human Resources Coordinator will provide comprehensive HR administrative support to the HR corporate team in all disciplines including employee/labor relations, reporting, training, invoicing, employee engagement/recognition, benefits, IT vendor reporting, HRIS data entry, reporting and metrics. This role will also support sustainability, diversity and charitable projects and company events. This position reports to the Corporate HR Manager. RESPONSIBILITIES EMPLOYEE RELATIONS/LABOR RELATIONS Provide administrative support as System Administrator for the Case Management software site (Ethics Pointe). Responsible to review/assign incoming cases and task locations to investigate claims. Coordinate all activities with the HRBP’s. Generate reports, track resolutions and follow through on open/outstanding cases Support Labor Relations with Union information requests, coordinating with various departments and gathering the data for each request. Partner with HRBP on collating the information as requested and delivering to the Union by the assigned deadline Partner with HRBP’s to keep appropriate documentation and information in the shared-drive updated (ie Current CBA’s, union agreements, job descriptions, etc.) ADMINISTRATION Submit monthly reports to local unions and/or branches as requested Ad-hoc reporting, to include union and metrics System Administrator for various HR sites and software such as Navex Global, Academy Live, HireRight, etc. Process HR Department invoices and expense reports, following proper procedures and timeliness standards Enter GAP requests and submissions to the UK as requested Manage corporate HR voicemail line daily by forwarding calls to appropriate personnel for follow up Support social committee events as needed System Administrator for Maximus site (I-9 vendor). Process weekly reports for compliance and escalate non-compliance issues to the HRBP Support onboarding/orientation activities for support center new hires Assist with the all HR file management including historical files, closed locations, shared-drive documents, etc. Assist with the administration of the Recognition program including tracking, award fulfillment, shipping and coordination of supplies or materials for the program Assist with the administration of Leave Management Inbox (Matrix) daily by forwarding information to field and corporate HR personnel as needed HRIS SYSTEMS Enter new hire data, processing pay-rate changes and other information as requested for corporate office and field personnel Assist with obtaining approvals on IT requests with Dataprise and field personnel Assist with HRIS system password reset requests from employees Assist HRIS Manager with system data-validation as needed Assist with the administration of the HR Vista Inbox daily; forward items to appropriate personnel and resolve issues as applicable TRAINING & DEVELOPMENT Run monthly and quarterly reports to assist with administration of the company’s training programs (harassment, compliance, anti-bribery, succession planning) Provide effective and consistent messaging across the organization when communicating SSP’s Mission, Vision, and Values QUALIFICATIONS BS in Business Administration, Human Resources or other related field 2+ years of administrative support experience; in a human resource capacity preferred Advanced in Microsoft Office (Word, Excel, PowerPoint, and Outlook) HRIS systems experience preferred (VISTA) HR experience in restaurant, retail or hospitality industry highly desirable Previous experience in a Union environment helpful High proficiency in Microsoft Word, Excel, PowerPoint, & Outlook Ability to maintain confidentiality of employee information Ability and flexibility to work independently and in a fast-paced environment Demonstrated ability to work efficiently under conditions of multiple deadlines and changing priorities to produce a large volume of material with attention to detail Excellent communication (verbal and written), organization, and follow up skills Ability to juggle multiple tasks, effectively prioritize assigned job duties, and meet deadlines Service oriented approach is essential to support all team members Ability to effectively manage conflict and ensure successful outcomes.
