Top architectural firm in DC with 100 plus employees is looking for a sharp, multi-faceted, full-time Office Coordinator/Front Desk Receptionist. They are searching for a responsible individual to perform a variety of administrative and clerical tasks in support of daily office needs. Ultimately a successful Coordinator would support and encourage efficient and smooth day to day operations of our office.

Main responsibilities:
  • Answering main switchboard and receptionist duties
  • Scheduling travel
  • Making appointments
  • Taking and distributing detailed messages
  • Event/meal planning and coordination
  • Coordination of meals lunches/breakfasts, special events
  • Scanning, copying, mail distribution
  • Updating office documents
  • Errands
  • Provide general support to visitors
  • Other office admin duties as needed
  • Assist HR Director
    • Personnel filing
    • I-9 auditing
    • Help with On-boarding, new hire set up and paperwork collection
    • Management of PTO
    • Other HR admin duties as assigned
    • Other admin duties as assigned by managing partner
  • Friendly, and professional demeanor
  • Excellent oral and written communication skills
  • Outstanding customer service: internal and external
  • Associates degree or higher
  • 55WPM+
  • Intermediate experience with Word and Excel
  • At least two years experience with a business solutions program such as QuickBooks
  • Extreme attention to detail and accuracy
  • Outlook calendar and email required (intermediate)
  • Flexible, Reliable, Open to feedback, Fast learner
  • Working knowledge of all standard office equipment
  • At least three years of Administrative Assistant experience
  • At least two years of switchboard experience
  • Ability to be responsive and thrive in a fast-paced work environment
  • Experience with providing administrative support to HR management or functions
  • Familiarity with Architectural industry (preferred, not required)
